As an Engineering & Operations Administrative Assistant in our Fleet Department you will perform a variety of administrative duties to support various departments within Engineering & Operations for a period of six to twelve months.

Competitive Hourly Wage: $24.42 per hour.

As part of your responsibilities as a Temporary Engineering & Operations Administrative Assistant, you will:
Perform administrative and clerical duties (e.g. data entry, memos and correspondence, note taking, preparing agendas and minutes, distributing and/or posting documents, organizing and assisting with invoice processing, scanning documents, departmental record-keeping). Monitor, order and restock departmental supplies (e.g. office supplies, first-aid kit supplies).
Assist with data entry, records management, assembling information and/or generating reports of various records and statistics in a variety of manual and computerized databases (repair and maintenance tickets/activities, health and safety data, environmental data, training records, parking records, fitness centre records, vehicle and equipment records, and departmental purchasing and expenses records, agreements and contracts). Assist departmental supervisors in documenting and monitoring schedules, generating reports / schedules from relevant systems (training, maintenance, etc.).
Assist with the administration of planned employee training (enrolment, attendance, training materials, catering, room booking and setup, etc.). Assist with the coordination and delivery of departmental events and meetings (scheduling, agendas, minutes, catering, room booking and setup, etc.)
Monitor and assist with ensuring timely response to requests (e.g. training, building maintenance, data/records).
Receive inbound and make outbound calls from/to vendors, contractors and London Hydro employees. Provide excellent written and verbal communications when interacting with internal and external customers.
Use personal computer and appropriate software proficiently.
Assist with fleet vehicle (Class G only) relocation.
Adhere to all Occupational Health & Safety Act rules and regulations, the E&USA rule book, London Hydro work practices and London Hydro’s Health & Safety Management System.
QUALIFICATIONS
The qualified Temporary Engineering & Operations Administrative Assistant we seek must be able to meet the following requirements:
Intermediate working knowledge of Excel and other Google-based programs.
Excellent written and verbal communication skills.
BACKGROUND CHECKS
The successful candidate will be required to complete a Criminal Record and education check prior to the commencement of employment.
